Profit leak calculator

This calculator estimates how much profit is leaving your business each year through three leaks we find most often: slow follow-up on new inquiries, aged leads and past customers nobody contacts, and manual admin work. It takes about 60 seconds and the number appears before you enter an email.

    Estimated annual profit leak

    $150,840

A conservative read is $90,504. An upper read is $211,176.

    Slow follow-up$84,000
    Unworked leads and past customers$45,000
    Manual admin$21,840

That is 20% of your revenue.

This is the range where a five-day Review normally pays for itself several times over.

The Profit Growth Review finds these properly and puts a real dollar figure on each one. $2,500, credited in full against any build. If we do not find at least three times the fee, you do not pay for it.

What assumptions does the calculator make?

    • 20% close rate when a reply goes out fast
    • 3% of aged leads and past customers become customers when worked
    • Manual admin is valued at the hourly cost you enter

All three are editable. Change the sliders and the number updates. We would rather you argue with our assumptions than accept our output.

    What is a profit leak?

A profit leak is money already inside your business that escapes before it reaches the bottom line. Not a missed opportunity - money you already earned and are not keeping. The three above are the ones we find most often and the ones with the shortest path to fixing. See speed to lead, aged leads and ghost software in the glossary, or read where businesses leak profit.

    How accurate is this?

It is an estimate, not an audit. It uses your own inputs and three stated assumptions, so it will be directionally right and specifically wrong. A five-day Profit Growth Review replaces every number here with one taken from your actual data.

Which leak should you fix first?

Pricing first in most businesses, because the work is already being delivered and a corrected price flows straight to the bottom line. Follow-up speed second, because the leads already exist. Then reactivation, then automation of manual work. Ranked this way, the first fix usually funds the rest. See what an AI consultant costs and how we work.

    Questions people ask

How do I calculate a profit leak?

Take each leak on its own: the leads that wait too long multiplied by the share you would have closed and your average customer value, the old leads you could work multiplied by a realistic response rate, and your admin hours multiplied by their cost. Add them together. That is what this calculator does.

What is a good profit margin for a small business?

It depends heavily on the industry, so there is no single good number. The more useful question is how far your margin sits below what your own revenue and costs could support. That gap is what a Profit Growth Review measures.

How much does slow follow-up cost?

With the default inputs here, slow follow-up alone is $84,000 a year: 40 inquiries a month, 35% of them answered after an hour, a 20% close rate on fast replies and a $2,500 average customer. Change the sliders to see your own figure.

    Is the calculator free?

Yes. There is no charge and no sign-up.

    Do you need my email?

No. The number appears as soon as you move the sliders. Email is only needed if you want the full breakdown sent to you.
